Your task list should tell you what needs attention. An Overdue view can show unfinished tasks whose due date has already passed, while keeping completed work out of the way.
Due Date is not empty
AND Due Date is before Today
AND Done is unchecked
Then sort Due Date ascending to show the oldest deadline first. This example uses whole-day deadlines: a task due today is not overdue yet.
No formula is needed for this view. The example uses a Date property called Due Date and a Checkbox property called Done. The steps follow Notion’s documentation on views, filters and sorts.
1. Start with your existing Tasks database
Create a table view named Overdue. Keep an All tasks view so you can still find records hidden by the filter. You are creating another way to see the same tasks, rather than copying them into a new database.
For a practice example, use Name, Due Date and Done. Due Date should be Date, and Done should be Checkbox. Use dates without a time or date range for this first exercise.
2. Combine the three conditions with AND
Open the view’s settings and choose Filter. Use an advanced filter group to combine the three conditions in the recipe above. Each condition must be true for a task to appear.
For the deadline condition, choose the relative Today option. A fixed calendar date is useful for a one-off test, but it will not keep moving with your daily review.
Use AND. With OR, an unfinished task due tomorrow could appear simply because Done is unchecked. The purpose of this view is narrower: it must be unfinished and have a deadline before today.
Need different alternatives within one view? See how AND, OR and nested filter groups work before adding more conditions.
3. Sort by the oldest deadline
Add a sort on Due Date, ascending. Sorting changes the order; it does not exclude completed tasks. Keep the filters in place.
If this is a shared team view and you want everyone to see the same filter, use Notion’s Save for everyone option when available. A view filter is a display setting, not a way to restrict who can access the underlying tasks.
Try it: which of these six tasks should appear?
These are fictional practice tasks. Enter the dates relative to the day you try the exercise. For example, if today is 6 October, yesterday is 5 October and two days ago is 4 October. Do not type “Yesterday” into a Text property; select the corresponding date in Due Date.
| Task | Due Date | Done |
|---|---|---|
| Send the proposal | Yesterday | Unchecked |
| Review the draft | Two days ago | Checked |
| Prepare the call | Today | Unchecked |
| Send the invoice | Tomorrow | Unchecked |
| Choose a meeting date | No date | Unchecked |
| Collect the feedback | Yesterday | Unchecked |
Show the expected result
Two tasks: Send the proposal and Collect the feedback. Both have a date before today and an unchecked Done box. Review the draft is completed; Prepare the call is due today; Send the invoice is due tomorrow; Choose a meeting date has no deadline.
Expected Overdue view
Due: yesterday · Done: unchecked
Due: yesterday · Done: unchecked
Check that your view responds to changes
- Tick Done on Send the proposal. It should leave Overdue.
- Find it in All tasks and untick Done. It should return to Overdue.
- Move its Due Date to tomorrow. It should leave Overdue again.
- Restore the practice values when you finish.
The task has not been deleted when it leaves the filtered view. You can open it from All tasks and check the properties that determine whether it appears.
Keep tasks with no date visible somewhere else
An empty Due Date means there is no deadline to compare. Create a separate Needs a date view with Due Date empty AND Done unchecked if these tasks need review. Keeping this separate helps you distinguish missed deadlines from work that has not been scheduled.
Using Status instead of a Done checkbox?
Keep your existing workflow. Replace the checkbox condition with conditions that exclude all of your completed statuses. If you use both Done and Cancelled as terminal states, exclude both with AND. Do not exclude only Done and assume Cancelled is covered.
Test one overdue completed task, one overdue active task and a task due today before trusting the view. Property names and status labels vary between workspaces.
If the result still looks wrong
Check the date property selected by the filter, the use of AND, the relative Today setting and whether the completion condition matches your data. Start with single dates without times or ranges. If your workflow needs hour-level deadlines or date ranges, define that rule separately; this guide treats a task as overdue after its due day has passed.
Three queues, three different decisions
| View | Rule | Decision |
|---|---|---|
| Overdue | Due Date not empty AND before Today AND Done unchecked | Resolve a missed deadline |
| Due today | Due Date Today AND Done unchecked | Decide what needs completion today |
| Needs a date | Due Date empty AND Done unchecked | Establish whether a deadline is needed |
For each overdue item, choose a concrete next action. Finish actionable work, identify the missing input, agree a revised deadline or record cancellation. Do not mark unfinished work complete merely to clear the queue.
These conditions use relative Today. The practice records need equivalent past, current, future and empty dates on the day you test; the relative filter changes its results as days pass.
Frequently asked questions
Do I need a formula to show overdue tasks?
No. For single, whole-day deadlines, combine Due Date not empty, Due Date before Today and Done unchecked with AND.
Why does a task due today not appear?
This recipe includes deadlines before today. Review today’s unfinished tasks in a separate Due today view.
What happens to tasks with no deadline?
They do not appear in Overdue. Review them in Needs a date using Due Date empty AND Done unchecked.
Does completing a task delete it?
No. Checking Done excludes it from this filtered view. Find the original record in All tasks.
