You already have a Tasks database. Now you want a project page that shows only the work belonging to that project, without maintaining another task list.
This recipe uses one existing task source, a Project relation and a linked view. You will build a dashboard for a fictional project called Oak Studio — website.
What you will build
A project page with two views: Open work and Completed work. Both display records from your existing Tasks source.
1. Check the project connection
In Tasks, inspect Project. It must be a Relation to the source containing your project records. A text label or select option with a project name is not the same connection.
Use the existing relation if it already serves this purpose. If you need to create it, follow how to connect two databases first.
This example uses a Done checkbox. If you already track completion with Status, keep it and use your actual completed statuses in the filters.
2. Prepare three test records
| Task | Project | Done |
|---|---|---|
| Prepare homepage draft | Oak Studio — website | Unchecked |
| Confirm approved sitemap | Oak Studio — website | Checked |
| Review brochure copy | Cedar Studio — brochure | Unchecked |
Select existing project pages in the relation. Open the selected page if similar project names make the choice ambiguous.
3. Add a linked view on the project page
- Open Oak Studio — website.
- Type /linked and choose the linked database or linked view option.
- Search for your existing Tasks database and select its task source.
- Create a Table view called Open work.
- Show Task, Project and Done. Add Due Date if you already use it.
Choose the existing source rather than creating a new task database. Notion’s linked database guide explains this creation path.
4. Filter the exact project and unfinished work
Combine these conditions with AND:
- Project contains Oak Studio — website.
- Done is unchecked.
Choose the actual project page in the relation filter. With the three test records above, only Prepare homepage draft should appear.
An OR group would also admit unfinished tasks from other projects. Use the AND and OR filter guide if the queue is too broad.
5. Add completed work separately
Add another Table view of the same task source called Completed work. Use Project contains Oak Studio — website AND Done is checked.
This view should show only Confirm approved sitemap. Keep it available for checking history without mixing it into the open queue.
6. Verify one reversible change
- Open Prepare homepage draft from the linked view.
- Check Done on this fictional record.
- Confirm it leaves Open work and appears in Completed work.
- Open the original Tasks source and confirm that the same record is checked.
- Uncheck Done to restore the test.
A linked view displays the same records. Editing a task there updates the source record; changing this linked view’s filters does not rewrite the source’s view filters.
If a task disappears from both expected queues, check its Project relation before recreating it. The empty project assignment guide provides a review queue.
7. Name the dashboard honestly
This filter selects one specific project. Reusing the page layout for another project requires checking and updating that selection. Do not assume a copied page automatically points at its new project.
Keep this as an internal dashboard. A filtered view is not a client access boundary. Review source permissions separately before sharing.
Common mistakes
- Creating another task source: the dashboard and main list then need separate maintenance.
- Using OR: unfinished tasks from other projects can enter the queue.
- Copying without checking the filter: the dashboard may still display the previous project’s work.
- Deleting a task to remove a card: change its state or the view when you still need the record.
Frequently asked questions
Does this duplicate my tasks?
No. A linked view of the existing task source displays the same records.
Do I need a rollup for this dashboard?
No. The relation assigns tasks to projects, and the linked view displays them. A rollup serves a separate summary purpose.
Why is another project’s task appearing?
Check the selected source and project page, then confirm the project and completion conditions are combined with AND.
Will checking Done change the original task?
Yes. The linked view edits the same task record in the original source.
Can I share this filtered page as a private client portal?
Do not rely on the filter for privacy. Check the original source and page permissions separately before sharing.
